1. Overview

Firmio is a private, single-user practice-management tool operated by a Chartered Accountant ("we", "us"). It helps manage clients, invoices, collections and documents, and provides an AI assistant accessible via web and WhatsApp. This policy explains what data the tool processes and how it is handled.

2. Information We Process

• Client records you enter (name, PAN, GSTIN, contact details, service categories, notes).
• Invoices, payments and collection data.
• Documents you upload and associate with clients.
• WhatsApp messages you send to the assistant, used solely to understand and execute your requested actions.

3. How Data Is Used

Data is used exclusively to operate the tool for the account owner — to store and retrieve practice records and to fulfil commands issued through the web app or WhatsApp. It is not sold, rented, or used for advertising.

4. Third-Party Services

We use a small number of service providers strictly to deliver functionality: a database host (Neon/PostgreSQL) for storage, OpenAI for natural-language understanding of commands, the Meta WhatsApp Cloud API for messaging, and an SMTP email provider for sending reports and documents. Data shared with these providers is limited to what is needed to perform the requested action.

5. Data Security

Access is restricted to the single account owner. Connections use HTTPS, and credentials are stored as protected environment variables.

6. Data Retention

Records are retained for as long as the owner needs them for practice management and as required under applicable Indian law and professional obligations. The owner may delete records at any time.
